Appointment Book Custom Icons

We have introduced a key new feature of fully customised icons to the Appointment Book. The icons can be set in the Management Module: “Appointment Custom Icons”. You can add your own icons by double clicking on an empty row in the SetupTable, type the label for your icon, select its colour and then select a graphical symbol.  You can re-arrange the icons order or remove the ones you do not need any more.

The icons can be added to appointments by choosing them from the two new drop down boxes: “Icon 1” and “Icon 2”.
The new icons can be used to indicate a variety of custom states like, lab work arrival status, referral status, patient happiness level, appointment rescheduling status, you name it.

Network Monitor Warnings

You may have probably noticed some new warning screens popping up recently and wondered what they are about. They are Praktika’s new network monitor notifications.

In general Praktika requires a permanent, non-interrupted Internet connection when working with multiple users. This connection is needed to synchronise the data between the multiple workstations. If such connection is broken (even temporarily) there is a risk of data loss or data integrity loss (when different workstations may display different data).
The red screen indicates that the Internet connection is broken. It is a bad signal. If it happens often, you need to check you network: either local (routers, switches, modems, WIFI devices, etc.) or external (your Internet Provider Services).
The blue screen reports that the Internet connection is restored. It is a good signal. Although because of the disconnection there is a possibility that the data on the Praktika server has changed and your workstation knows nothing about it. The safest option is certainly to press the left button “Reload All Data”. It will discard all the locally unsaved changes and will override them with the latest saved data from the server. This way it insures that your workstation is showing what other workstation show at the same time.
If you press “Ignore and Continue” you need to understand that the data on your computer may not be the latest and it can be outdated. Although if you have not yet saved your local changes and still want to keep them, you can press the “Ignore” button and save your changes.  It would still be best to re-login after such occurrence to make sure that all the data is reloaded from the server.

Multiple File Uploader

(without file conversion)

There are two ways Praktika now offers to upload files.

The first is to upload the files are they are (without changing their format)Press the “Upload Files” button in the Imaging Window (or Communication Screen), select the files you want to upload (you can only upload JPG and PNG formats in the imaging screen, plus MS Word, Excel, EML and PDF in the Communication screen), add some notes if necessary and click “Upload”. The progress monitor will display the upload status.

Multiple File Uploader

(with file conversion)

The second loading option allows you to upload image formats that are not normally supported by the web browsers like TIF, GIF and BMP. You can still upload PNG and JPG though. In the Scan screen click on “Load Local Images”, select the files, choose the format to save: JPG, PNG, PDF or PDF multipage and upload them. The files will be converted to the newly chosen formats and uploaded.  You can also add notes to the images.

Image Printing
The Imaging screen now has the “Print” button which allows you to print it on a letterhead or without.  You can also add Patient details and enter some accompanying notes.
If you need to email the image, the best way would be to print it to a PDF file and then send that file as attachment.

Clinical Notes Last Edit Time
There is another parameter for the clinical notes added in the header – the last edit time. It is shown right after the date and it shows the latest modification time.
Appointment Notes Deletion

There is a new practice setting that allows the deletion of the appointment notes by anyone (not only the author or Practice Manager). For that, change the setting and use the designated button in the bottom left corner of the Appointment Note Screen.

The note deletion can be used to cancel scheduled SMS in appointments.
Scheduled SMS Cancellation
If there is a scheduled SMS in the appointment it will now be cancelled automatically if the appointment is moved from its place (rescheduled). If the appointment is marked as Cancelled, the scheduled SMS in this appointment will also be cancelled.

Arrivals Panel

The new Arrivals Panel is a long sought after feature which was suggested and guided through by many of Praktika’s users. It combines a few requests into a single interface which, we believe, will be welcomed by receptionists, doctors and practice managers.
Its main objective is to provide a highly visual interactive interface to check and change today’s patients arrival and response status.
The Arrivals Panel is also accompanied by the new mouse right-click functionality on the appointment blocks to quickly change the arrival and response status.
This is the first in the chain of changes concerning the appointment status handling in Praktika. It will be followed by the new treatment of appointment cancellations, the cancellation list, custom icons and statuses.

Arrivals Panel button

The Arrival Panels can be opened and closed by clicking the arrival panels button in the top left corner of the Appointment Book.

It also has a visual indicator (blinking) of how many patients have arrived at the clinic and are waiting. Once a patient proceeds to a surgery and is marked as “at the surgery” the indicator reflects the change.
There is a dedicated close button on the Panel’s right side.

The Anatomy of the Arrivals Info Block

The Panel displays individual patient arrival info blocks. They show:

  • Patient full name (incl. preferred)
  • Patient telephone numbers
  • Patient photo (if any) or gender placeholder
  • Estimated Time of Arrival or Waiting Time (if patient has arrived)
  • Late Time (if patient is late)
  • Provider (name and colour)
  • Appointment times
  • Buttons to quickly change the status: FTA, Cancelled, Arrived, At Surgery, Left Practice.
The colour of the block also shows the Appointment status:
  1. Red – cancelled appointment
  2. Black – FTA
  3. Green – completed appointment

Operating the Panel

Open the Panel and click the buttons that correspond to the change of the arrivals status.
Arrived”,  “At Surgery”, “FTA” and “Cancelled” buttons are enabled for incomplete appointments only.
Left Practice” – available for the completed appointments only.
If you need to undo the change, click again on the button you pressed.
For “FTA” and “Cancelled” – double-click to reset.

Appointment Blocks Mouse Right-click Enabled
We have enabled the mouse right-click functionality for the Appointment blocks to facilitate the management of the arrival and patient response status.
There has also been a change in the logic of what responses are available at various stages of the appointment existence.

Diagnodent Exam

An ability to record Diagnodent exams has been added to Praktika.

The entry data is colour coded both in the entry fields and in the oral cavity section. Switch between the fields by pressing the “TAB” button. The clinical notes interface is also added at the bottom of the screen. In the Stage 2 of the Diagnodent release there will be an interface to compare several exams.
Importing Email (EML) Files
Now you can import Emails into the Patient Communication file. For that save your email (including the attachments) as *.eml file and import it in the Communication section by choosing “Emails” as the document type in the Import Document interface. Double click on the email to display the content of the saved email: it should start your Mail application and show the email there.
Recording Events
We have added a facility to record external events in Praktika. This can be done within the Communication section or at the Recalls section. It is meant to record generic important events that are not directly managed by Praktika (like SMS, emails, documents, etc.). You can record posting things, delivery failures, couriering parcels, etc.

 

Communication – File Preview

A very useful feature that is finally here. Preview image files (png, jpg), text files, PDF files immediately in the Communication Table preview window. Just select a file in the table to preview.
IMPORTANT NOTE.
If the Preview Window is not properly aligned, it covers the buttons or is placed outside the screen, make sure that the zoom level of your browser is set to 100%.  (Ctrl + 0 or Command + 0 shortcuts usually do the trick).  Pressing ESC key will close the screen if the buttons are covered.A very useful feature that is finally here. Preview image files (png, jpg), text files, PDF files immediately in the Communication Table preview window. Just select a file in the table to preview.

 

DMA – Import Transaction Files
All DMA members using Praktika can now save lots of time by importing DMA transaction files straight away to Praktika.  There is a new DMA Management Tab in the Management Module to import and process the files as well as a button in the Patient Summary to show a particular patient’s DMD transactions. To see what the DMA is, please look at the end of this Newsletter.
Edit Communication File Notes
The document notes in the communication files are now editable. Just click on the note to bring up the Edit Note popup where you can modify and save the content of the note.
Multiple Image Acquisition 
The scan interface now allows to save and upload several images at once. If the screen contains more than 1 image, it switches the view into the multiple view mode, allows you to select the desired ones and save them with a single click.

Currently the recommended browsers to use with Praktika are:

Windows platform: Internet Explorer 10, Firefox (the latest version), Safari
Macintosh platform: Safari, Firefox (latest versions)
At the moment we strongly recommend not to use the Google Chrome for any platform because of the two critical issues:
– printing problem (wrong page and wrong scale while printing);
– performance problem (significant drop in program responsiveness after some prolonged use).
We will keep you informed on when Google fixes the issues and the Chrome browser becomes a recommended browser again.

New Recall Management System

The biggest feature introduced in our latest Praktika release is the re-designed Recall Management system.

We have taken into consideration a lot of feedback and recommendations from our users and extended the Recalls functionality to make it a simpler and better manageable system.
We consider Recalls to be one of the most important part of the Practice Management. The continuous patient care is what allows practices to stay afloat in these rather difficult times.
The most prominent features of the new Recall System are:
  • Recall Groups: organise recalls into manageable groups that can be assigned to a particular person as a task (max 100 recalls per group).
  • Recall Groups Actions: apply actions to multiple recalls (print, email, SMS, reschedule, etc.)
  • Individual Recall Actions: apply actions to single recalls (print, email, SMS, reschedule, etc.)
  • Timeline of Recall Actions: visual representation of all recall actions per each recall (incoming and outgoing correspondence, telephone calls, messages, etc.)
  • Support for various means of communication with patients and records of  the outcomes (email, SMS, post, telephone calls)

DYMO Label support is added to the Appointment window. You can create an appointment and quickly print an Appointment Reminder Card (89 x 51 mm) to give it to the patient. Please make sure the Appointment has an assigned provider to be able to print.
You can also easily print Patient address labels:
  • a single label from the Patient Navigator Screen
  • single or multiple self-adhesive labels from the Patient Directory or Recalls. We support the most common DYMO label formats.

Extended Email Functionality 

The email support in Praktika has been further extended to include:

1. Emailing the Tax Invoices (New Button in Completed Appointment Window)
2. Emailing the Documents from the Patient Communications. Select a template or write a new document based on a blank template and email it.
3. Emailing from the Patient Directory and Recalls Management.
You can send individual emails of mass emails from those modules.

PNG Image Support

PNG image support has been added to Patient Imaging files. PNG is a lossless compression format (as opposed to JPG, which is a lossy format). Files saved as PNG do not undergo the optimisation process that decreases the image quality so the files are saved ‘as is’.
JPG format is still a preferred method for saving document files, where the image quality is not critical.

Suburb Auto-input

We have added a highly requested feature: the facilitation of suburbs and postcodes input. The feature works by auto-prompting all the suburbs that match the input while typing.  Once you select the required suburb, the postcode is also inserted into the corresponding input box.
The Suburbs are capitalised as recommended by the Australian Post.

Quotes from Several Fee Schedules
Now it is a lot easier to create several alternative quotes based on different fee schedules. For that, create one quote, drag it  over the green rectangular button in the top right corner and specify a new fee schedule for the created copy.
Also, when deleting unnecessary quotes, there is an option of deleting the treatment contained in them as well.

Fee Schedules Cost Values
Every treatment procedure can now include a cost component.   Costs can be used to calculate expenses, such as lab work, etc.
The cost can also be entered while adding procedures to the Treatment Plan or Appointment.  A new input field is added to the Treatment Procedure screen.

Printing from Windows 8 and 8.1

On top of the known and still existing issues with printing from Chrome on MS Windows (Hello, Google, it’s been a year since the bug was recorded!), there is now a new printing issue with the newest Windows versions. The latest version of IE seems to ignore the text and prints only graphics, while the latest Firefox tends to print blank pages. The errors are not happening for everyone and may depend on the particular software versions and settings. So far the only workaround we found on Windows 8 computers is to install Safari Browser and run Praktika through it.

Periodontal Charting – Overhaul

Please welcome the redesigned Praktika Periodontal Charting.  Its new structure and functionality are the result of collaboration with our customers who provided a lot of useful and insightful feedback and recommendations. As with all the latest major changes in Praktika we still keep the old units operational while providing the new ones as a selectable option in your practice settings. This allows users who are happy with the existing features stay happy, while providing new functionality for those who need it.

The main features of the new Periodontal Charting are
  • automated input (the focus jumps to the next input automatically after you enter a value)
  • ability to configure the exam sequence or use one of the presets

Periodontal Chart Practice Settings
Go to Management -> Practice Details -> Perio button. The setting allow you to chose between the existing Perio Charting and the new one. You can also choose which type of PSR/CPITN input you are utilising and set the default jaw visibility (show them both or one at a time).  The latter can be changed from the chart window as well.

PSR / CPITN Input
This input allows you to enter the corresponding exam values by sextants. Either select a value from a drop down list or set the focus on the input and type a value on your keyboard. You can also select a diagnosis value in this control.

Customise Exam Sequence
To select your exam sequence you can either select a preset one (PD, PDR, etc.) or completely customise it by enabling and disabling particular inputs. Green selector means the input is enabled, while the red one shows disabled rows.
You can also set the direction of input automated focus switching: by a measurement or by a tooth. In the first case the focus will switch between teeth while staying in the same measurement, in the later it will stay in the same tooth for all the enabled inputs.

Perio Imaging and Clinical Notes Panels
The imaging panel provides a list all all the patient’s images in ascending order by date. Double click on a particular image to view it, adjust the window size by using the split widow handles. Use the tools to zoom and rotate the image.
Start a new clinical note to record the exam observations. Old perio exam and per tooth notes are deprecated in this new release.

Improved Dentition Panel
The improved Dentition Panel introduced more teeth types and possible combinations.  The panel can be utilised to configure the oral cavity before a Periodontal Exam probing.

Bulk SMS from Patient Directory and Recalls

Bulk (groups) SMSing is now available at the Patient Directory and Recalls. Select a number of patients and either send SMS immediately or schedule them for some time and date in the future.

 

 

Supernumerary Teeth

Supernumerary teeth were added in the Restorative Charting. To enable them go to Management -> Practice Details -> Restorative and tick the “Supernumerary Teeth” check box. Their placeholders will appear above the “standard” teeth in the chart.

 

 

Assignment of a Provider to a Completed Appointment 

The automatic assignment of a provider to a completed appointment now happens along the following pattern:

– provider the appointment is assigned to

– if none, then the preferred provider specified in the patient file
– if none, then the provider who completed the appointment
– if none, then the first provider in the list

Appointment Book Updates

The Appointment book has received a few new features and numerous improvements.

The most notable of them:
  • fully customisable Treatment Types,
  • enhanced “On Hold” appointment blocks,
  • new “Annotations” functional area,
  • sortable providers order and
  • interactive time prompt.

Setting Treatment Types

Praktika now has fully customisable treatment types. It still comes with a default set based on the 10th Edition ADA Schedule (the descriptions and colours), but it can be completely modified to suit your needs.

To do that go to Management -> Practice Details -> Treatment Types. Double click on an empty table row to add a new entry: type in the description and label, choose colour and save.

If you want Praktika to automatically pick up your treatment type based on the procedure codes, enter the procedure number(s) in the Treatment Codes column. Examples: 88025  or 88025, 88026  or 121-132, 143, 151-169. You can specify several codes using commas as separators or dash to specify a range.
You can always reset to Praktika’s default set by clicking the Reset button. To re-order or delete rows press “Delete/Re-order” button. Re-ordering is done by dragging.

Applying Treatment Types

To pre-block your treatment types switch to the Provider’s Schedule mode and  press the Treatment Type button.Select a type from the pop-up panel and paint in the booking area. The painted blocks will receive an icon with a label on the right side corresponding to the selected treatment type.  The painting can be applied both to a blank area or to a provider specified area.
Once you have finished the application, save your changes. The treatment type blocks can be propagated in the same way as any other functional area.
If you place and Appointment in the pre-blocked area, the appointment type will be set from the block value. You can still manually set the type from within the appointment as before.

New “Annotation” Functional Area

The new Annotation functional area (lime green colour) preserves the functionality of the former Treatment Type area. It allows to apply the colouring both to blank and provider assigned areas.

The difference between the Annotation and Note is that you cannot create an Appointment over a Note, but you can create an Appointment over any Annotations area. Notes cannot be written on top on the provider areas while the Annotations can. All in all, the Annotations are a lot less restrictive that Notes.
Enhanced “On Hold” Appointment Block

Since the introduction of the Recommended Treatment Duration (see Praktika Newsletter of July 1, 2013) the appointment’s length is now being calculated from the treatment it contains. For extra convenience the On Hold blocks now display the duration in minutes (the blue panel on the bottom right) as well as how long an appointment has been sitting in the “On Hold” section.

Please check your “On Hold” section. You may find some appointments stuck there for over a year without any action taken.  🙂
Sortable Providers Order
You can now arrange your Practice’s providers the way you like it. In Management  -> Practice Staff you can specify the colours associated with providers. Click on the on the “Order #” column to get a popup panel to re-arrange the order in which the providers appear in the list and all the drop down boxes.
Interactive Time Prompt
You may have noticed that now for your convenience there is a semi-transparent time prompt that appears to the right of the cursor, when you move the mouse pointer inside of the Active Booking Area.

Sharing Quick Text Templates with Other Users

All user based templates: Appointment Note templates, SMS templates, Clinical and General Notes templates can now be shared with other users.
For that in the Template Editing Panel tick the “Shared” checkbox to let other users see and use this template (but not to modify it). If you want the users to also be able to modify your template, tick “Editable by others” check box.
In the Template list there are three new columns: the Owner of the template, its sharing status and its editable status.

Minor Changes and Improvements
  • “Confirmed” Appointment status is reset if the Appointment is moved to another time slot
  • “Siblings” relationship can now be established in Families
  • Phone calls notes made from an appointment are copied into the Appointment Notes
  • The list of providers in the completed appointments contains only those providers which were active at the current date

Patient Summary Updated

The Patient Summary screen has received a few updates. The most noticeable are the buttons that were reduced in size to give room to the new features that include:

  1. The Family Members list – double click on a family member to switch to his/her file.
  2. Another information panel that displays the number of days since the last visit, the next appointment date (if any), the number of days until the next due recall, the patient’s health fund name (if any) as well as the totals of all the benefits paid by health funds and the total paid by the patient from the pocket.
  3. A new Total number displaying the sum received for the patient’s treatment from all sources.
The Appointments table has also been extended to include the length (duration) of the appointments and the day of the week in the date column. More room was also allocated for the alerts.

Families in Praktika

This release of Praktika introduces the Familyconcept of Family besides the notion of Guarantors. The Guarantors button has been altered to reflect the change.

Now you can easily add new family members and keep the same residential address and telephone numbers.
The feature will be further developed to include new functionality applicable to families as units.

Recommended Treatment Duration
We have added the Recommended Duration column to the Fee Schedules. The duration is measured in minutes and can be entered in a similar way to the fees (select a field and press the “Enter” key to proceed to the next field down).
The duration is then shown and is summarised in the Treatment Plan and Appointment windows.

Treatment Plan Update
The Treatment Plan window now takes into the consideration the recommended treatment duration. It displays it both for the treatment arranged into visits and unarranged (loose) treatment. The visits also show the total value of procedures. The recommended duration can be overriden by editing the number directly in the table.
When you create appointments from the visits (double click on the visit number), Praktika automatically assigns the duration to the appointments.
There were some visual improvements: Anchor icon to show the procedures that cannot be dragged or moved, more consistent colours and selections as well as the auto scrolling when dragging procedures outside of the visible table screen.

Reports Data Export
All the Praktika financial reports can now export data to Excel (CSV – comma separated values format). Please mind that a user needs to have a certain permission level to export from Praktika. For that refer to your Practice Manager.

The Appointment Screen (allocated) now also displays the recommended duration based on the sum of the Appointment treatment procedures.

The Patient Personal Info screen has been updated as the first stage in creating customisable Patient forms. The content of the screen has not yet changed – just the layout that will allow a flexible resize.

7 Month Recall Added
You can now set the 7 (seven) month recall period for your patients. The feature is added to tackle the usual 6 month waiting period with the health funds.

A new version of Praktikaps handles the issues of multiple computer connection to a single HICAPS terminal. In the past such connection were rather unstable. The new release has rectified the problem.

We have released new version of Praktika Dental app for iPad, version 1.5.1

the required zoom level and also enhance the

The interface is gesture driven and it behaves  similarly to other image viewing applications
on iPad. Pinch, tap or swipe do what you should
expect them to do. The feature significantly simplifies and speeds up working with patients’
images through the improved visibility and provision of quick ways to manipulate the images.
It can be used both clinically and for the patients education.

On top of the image enhancement functionality now available on iPad, the desktop version of Praktika has also received the same image enhancement features.

Now the images can be sharpened (enhanced) and adaptively lightened.

Document Mail Merge
Praktika has now got a full scale document merge facility that allows to use Praktika Document Templates to produce merged letters for patients.
The feature can be accessed both from the Patient Directory and the Recall Unit.
Select the necessary patients,
click Print -> Documents, choose a template and produce merged letters

Clinical Notes Font Size
The Clinical Notes interface has received an upgrade. You can now adjust the preview font sizes to improve the text legibility.
The interface has also been modified to keep up with the iPad version: the same colour coding for general and clinical notes as well as the redesigned note’s header section.

New Permissions Level
There is now a new permissions level that was specifically configured for off-site appointment services. The permission restricts access to the patient files and any other patient or practice information. It only allows access to the appointment book to make bookings with existing or new patients.

You can now add an extra line to your Tax Invoice that can be used for marketing purposes.  Practice Settings -> Tax Invoice -> Marketing Line.

You can also specify the default scanner resolution in Practice Settings -> General – > Default X-Ray Scanner DPI
Treatment Plan Layout
The layout of the Treatment Plan screen has been improved by placing the divider slider. Now you can adjust the room allocated for Accepted and Suggested Treatment by moving the slider up or down (vertically).

1st Available Integration
Praktika is now integrated with the 1st Available online booking services. Subscribers to the 1st Available services can use Praktika to manage their bookings. The integration is fully synchronised and is very easy to use: just mark (paint) in Praktika’s Scheduler blocks available for patient booking. Once appointment are made through the 1st Available services, they are immediately shown in Praktika (and vice versa).

Scheduler / Appointment Book Update

There have been a few changes in the Scheduler / Appointment Book in the past two weeks that are worth mentioning. The changes concern both the looks and the functionality of the module.

The Scheduler mode now has a better visibility of selected buttons: a green “selected” icon and reversed out text. The Scheduler mode has also received a blue perimeter border to distinguish it visually from the Appointment mode. Other changes include improved cursors, customisable font size for Appoinment notes and Appointment blocks as well customisable provider colours.

Scheduler New Cursors
The new cursors in the Scheduler module are designed to be more uniform and easier to use. Praktika now uses operating system cursors that are faster and more stable. The cursors are still colour coded but most of them are represented as “standard” arrow pointers with a type icon attached at the bottom. This is the first step in preparation for some extra functionality of the Scheduler involving the fully customisable Treatment Types.

Scheduler Font Size
There are new customisable practice settings that allow you to change the font size of the Appontment blocks and notes as well as of the font size for the printed day schedules.  Go to the Management Module -> Practice Details -> Scheduler to modify those font settings. You may need to refresh the screen for the settings to apply. For that click on the Practice Location Selector (top right corner) in the Scheduler and unselect and then select your location.

Scheduler Provider Colours

Now the provider colours can be selected by the users. Go to Management -> Practice Staff – > Colour column and click on the colour picker. The colours are given in a sequence that provides the maximum contrast within the colour pairs. We only suggest the best visual order, you can follow your preferred scheme.

Deleting Adjustments

There has bee a significant change in the way the account adjustments are handled. Now the adjustments can be simply removed without reversing them. For that, just select an adjustment and press the “-” (Minus) button. Note that all payments, transfer from deposits and refunds still require reversals.

 

Patient File – Date Joined

The personal file has got a new entry field – Date Joined. It is filled in automatically when a Patient Record is created, but it can be modified to reflect the day of the first visit. It is done to cover the cases when patient files are entered from the archived patient documents or when the data is converted from other sources. It is located under the personal photo of the Personal Info file.

 

 

User – Set Primary (Default) Location

User can now have their default locations specified (in case of multiple location practices). This is the location into which the user will login by default. You can set it in Management -> Practice Staff -> Primary Location column. First select the location you want to set as primary, then go to the setting and tick the box.

 

 

Staff Resignations per Location

Staff resignations and dismissals now work on the location basis. A staff member can be dismissed from one location, while still being active at other locations. Note that the “Lock out” function will still immediately terminate the staff member’s access to Praktika at any location.

Printing from Google Chrome under Windows

There are a few issues you should be aware of when it comes to printing from Praktika while running it in the Google Chrome browser (Windows). The Mac version seems to work OK (Version 26.0.1410.65 on Mountain Lion 10.8.3).Printing from Google Chrome under Windows

 
In the Windows Chrome version the print dialogue displays the wrong zoom setting of the page and tends to display the previously printed page rather than the current one. You can still use Windows Google Chrome browser with Praktika, but to avoid the printing problems, select “Print using system dialog…” setting rather than the internal print dialogue. (See the picture on the left). We hope that eventually Google will fix the bug which was documented several months ago.
