Appointment Book - Scheduler


The Appointment Book is central to the Receptionist Role. It is used to record and display the relevant information while making appointments or quickly retrieving information about them. It is as light-weight as we think is possible and we try not to overload it with something that is not so critical at this stage, while still showing you what is.

The appointment blocks display the provider (colour coded), patient's name, current status of the appointment and appointment type. Mouse over the appointment brings a pop-up window showing extended information like Appointment notes, Patient's details and Alerts. Clicking on the Appointment opens a window with detailed information and further links to other relevant data. Each stage is more detailed than previous, providing you with a flexibility to retrieve critical information at once and detailed information if necessary.

The Appointment book also has a section to place appointments on hold. The appointment blocks are draggable and resizable.

Patient File

The Patient File is a collection of links to the information related to a particular patient.

The panel shows the most critical and essential information at the top: personal info, general and medical alerts, the list of all patient's appointments in the past and future as well as the financial balances and deposits.

The buttons at the bottom of the panel provide access to various sections relating to the Patient's file, like detailed personal information, recalls, imaging, clinical notes, restorative charting, deposits, etc.

Some of those quick links are also available in other parts of the program to provide an instant access to the relevant patient information.

All the patient information can also be placed in a single document and printed from the Patient File window.

One can also print out the list of upcoming appointments for a patient from here.

If patient's data are shared between several clinics, the appointments in another clinic are shown with a different colour.

Quotes - Estimates

Quotes Module allows you to quickly create estimates for patients, approve them and place the procedures into the Treatment Plan. Our HICAPS integration also enables you to submit the estimate to a health fund to get the instant rebate amount and the gap information.

The quotations can either be standard, i.e. having a total sum for the proposed treatment, or multichoice, i.e. incorporating alternative treatment within the same document.

It is very easy to duplicate estimates to create variations of quotes. Just drag and drop an estimate icon upon the designated area.

The estimates for a patient are shown in the document section of the screen and they are colour coded, e.g. estimates waiting for approval are colour coded orange, approved ones are coloured green and rejected estimates are red. Estimates also expire after a given period (e.g. 3 months).

Treatment Plan

Treatment Plan contains approved procedures. You can use the ADA coded procedures, Medicare procedures or create your own custom ones.

The procedures in the Treatment Plan can be grouped into visits which then can be easily allocated to particular appointments. Visits are color coded and can be rearranged by simply dragging in or out.

At the bottom of the screen there is a set of suggested treatment procedures which had not been previously formally approved. You can still drag those procedures into the Treatment Plan making them thus approved.

The Treatment Plan can be accessed from the Appointment windows to add the necessary procedures to the appointments or from the Patient File.

You can enter items into the Treatment Plan from an Appointment, Quotes Module, Restorative Charting or directly from the current Treatment Plan screen.

Periodontic Charting

Periodontal Charting provide both graphical and numerical descriptions of the conditions in a patient's mouth, missing or malposed teeth, clinical attachment levels, furcation (root) involvement, mobility, pocket depths, bleeding sites, and other deviations from the norm. Other condition that may also be charted is plaque.

The data may be entered using several alternative workflows, e.g. All, PD, PDR, PDFM, PBS. There are also two alternative sequences (movements) of switching from one tooth to another. To speed up the data entry it is advisable to use the TAB button. Then all the data entrywill be following the selected workflow and movement.

It is possible to create several exams and compare the observation results by switching between them. Only the latest exam is editable.

Restorative Charting

Restorative Charting is one of the most functional and complex modules in Praktika. It combines a visual representation of the oral cavity and of the selected tooth, suggested, approved and completed treatment, clinical notes, conditions records and short-cut buttons to assign treatment and record pre-existing conditions.

The oral cavity section reflects pre-existent conditions and treatment, like cracks, chips, crowns, filling, etc as well as planned and completed treatment. It uses colour coding to display the status of treatment: grey for pre-existing, red for planned and green for completed.

A close-up view of the selected tooth makes it easier to see and work with particular parts of a tooth. There are extra labels and grid tips to facilitate work with a particular tooth.

Charted treatment is automatically added to the Treatment Plan and vice versa - treatment added in Appointments, Quotes and Treatment Plan is automatically charted.

Accounts is by far one of the most important part of any Practice Management Software. The Accounts in Praktika combine all the financial transactions information from all the other Praktika modules. The charges are set out in the Appointment and that's where the Tax Invoices and Receipts are issued. Payments are also entered in the Appointment either manually or automatically through the HICAPS terminal.

The Accounts also include Deposits Module where patient deposits can be added and managed.

All the patient's transactions data are included in the Ledger, which gives an itemised date grouped listing.

The Ledger shows all the balances and adjustments. You can also see a financial statement for a given period and print it out.


Praktika has two groups of reports: Standard Reports that are included in the Standard Package and generally provide the factual information like: Cash Receipts, New Patients, Unpaid Invoices, Activity Details Report, etc, and Advanced Reports that, as a rule, provide analysis of the information, like Provider Performance Report, Fee Comparison Report, Treatment Analysis, Revenue, etc.

Most of the Reports can supply you data for an arbitrary period of time, present it for all the business as a whole or single out a particular provider.

Multiple location practices can combine data or request it separately per location.

Praktika - Online Dental Practice Management Software Imaging X-Ray

Imaging module can add, edit a and save images in a variety of bitmap formats. The images are grouped by the date when they were initially saved (creation date).

There is a set of tools that allows you to edit images: brightness, contrast, rotation, and size. You can also use a ruler tool to measure X-Rays.

You can place several images side to side for comparison.

We are currently developing a bridge software to directly upload images from an X-Ray unit to Praktika server.


Fee Management

Praktika allows you to have several Fee Schedules to differentiate between various fee sets. That allows the user to enter charges quickly and painlessly.

You can easily create a copy of a particular schedule, edit particular prices and rename it into a new set.

Multiple location practices can share schedules between the locations. For that all they need to do is to drag a particular Fee Schedule into the special shared area. Once in that area, the Fee Schedule becomes visible and available at all locations.

You can create your own custom Fee Schedules that contain your custom entries - like stock items and others.

SMS and Communication

Praktika provides a 2-Way SMS communication facility. It means that you can send SMS both to mobile and land-line phones and also get and process SMS replies. When an SMS is send to a land line telephone it will be left as a voice message.

The Appointment window in the Scheduler displays the status of SMS communication. When an SMS reminder is sent, an icon appears indicating a sent message. When the message is read by the patient, the icon changes its status to the "message received", when the patient replies to the message, the icon status changes depending on whether the reply was a confirmation or not.

Praktika also has a communication module where all the communication with patients can be recorded: written, emails, telephone conversations.


Dental Recall is the process of rescheduling missed appointments or calling to confirm patient appointments to increase revenue. The main purpose for a dental recall system is to ensure the quality oral health of the dental patients. The increased production maximizes the efficiency and profitability of the practice.

In Praktika all new patients are prompted to set a recall date on the completion of the first appointment. The date can be set as a standard period or a custom one.

Once the set recall date is reached, the patient is automatically added to the Recall List, where a particular action can be taken: a reminder sent by mail, by email or SMS, followed by a telephone call, etc.

The patient is then transferred into the Recall In Progress list and will be automatically removed from the list once a new appointment with the patient is completed.

Praktika is now fully integrated with HICAPS. You can make claims, send quotations to health funds to instantly get to know the benefits and make EFTPOS payments both with credit and debit cards.

You can hook up a HICAPS terminal to one computer in your local network and share this terminal with all other computers. The computer with the terminal connected must be a Windows machine, but all the other computers on the network can use any operating system.

Praktika also runs a set of HICAPS specific reports that sum up the transactions done with the help of HICAPS terminal.
